A good business, run the hard wayNorthpoint Advisory is a business consulting firm working with small and medium sized enterprises. Four permanent staff carry the core practice, and up to ten contractors are called in for specialist engagements: financial modelling, change management, facilitation, research. The work is good and the pipeline is full.
The problem was never the consulting. It was everything around it.
A business run from a dozen tabs
What every week actually looked like- Data scattered everywhere. Google Workspace, a project management tool, the CRM, Xero and a shared drive grown by accretion: each holding its own version of the truth, three copies of everything, and finding a document often slower than rewriting it.
- No consolidated view. Answering "how is the business going" meant logging into five systems and assembling the picture by hand. There was no single dashboard, so mostly nobody looked.
- Knowledge management by memory. How things get done lived in people's heads, and mostly in the owner's.
- Every question routed through the owner. A single point of information flow: the team queued for answers, the owner drowned in admin, and the whole firm moved at the speed of one calendar.
- Manual admin everywhere. Status reports, invoice chasing, onboarding checklists, meeting notes. They knew automation should help. They did not know where to start.
The security question underneath it all

Where these builds actually failConnecting to an API is an afternoon. Making the numbers right, and keeping them right while the business changes underneath them, is the work.
A mis-paginated query once reported revenue ninety times too high. It looked plausible. Every figure here is reconciled against source records before it is trusted.
Archived projects still answer API calls. Left unfiltered, duplicated records inflated billable work by a factor of three. Money that did not exist.
A revenue metric can be defined so it reads zero in a month with real billings. Choosing definitions that match how the business actually thinks is a judgement call, not a setting.
A date formatted the obvious way shifted every month's profit by a day. Small errors in the plumbing become confident, wrong decisions at the top.
